RUKIVO FIELD NOTES

When is it time to replace Excel with a business system?

Excel can be a sensible starting point. The decision to move should come from a recurring business problem and a clear workflow, rather than the number of spreadsheets alone.

Look for a process problem you can describe.

A useful warning sign is repeated work: an order copied into several files, stock figures that differ by team, or approvals that cannot be traced. Describe one incident, the people involved and the information they needed. That gives a software project a concrete starting point.

Keep a spreadsheet when it still fits.

A simple file can remain appropriate for occasional analysis or a small, stable list maintained by one person. If an existing product already supports your workflow, configuration may be a better starting point than a custom build. Compare the actual process, reporting needs and ongoing costs.

Define the first workflow before the screens.

Write down the trigger, required fields, responsible role, next step and exceptions. For inventory, that might be receiving a supplier delivery, transferring stock and handling a return. For finance, it may be recording a bill, approving a partial payment and checking the remaining balance.

Plan the move from sheets carefully.

Decide which file is authoritative, remove duplicates with the business owner and agree opening balances or historical cut-off dates. Review an import sample before migrating everything. A reconciliation check should compare the agreed records and totals, not simply confirm that an upload completed.

Choose connections around a source of truth.

If Shopify, a courier or another tool will remain, agree which system owns each field. Document sync direction, timing, permissions and what happens on failures. Adding several connections without those rules can reproduce the same confusion in a new interface.

Test with people who do the work.

Use realistic examples: an incomplete record, a cancelled order, a partial delivery or a rejected approval. Confirm that each role sees the right information. Define acceptance checks, training and handover before launch.

Compare build and monthly costs together.

A custom quote should identify the one-time build, optional upgrades, monthly running subscription, support scope and provider charges. At Rukivo, the main packages separate focused basic systems, connected systems and multi-system projects. Scope determines the final price.
